[SA] Arisia 2008: come help us load the truck!

Hello folks!

Logistics has been receiving inquiries concerning scheduling and  
procedures for load-in and load-out; here's a run-down of our plan:

LOAD-IN

We will be loading up the truck starting about 6 pm on Wednesday,  
January 16, at the Arisia storage facility.  Even if you can't be  
present until later, we can still use your help.  We expect to be  
working until 9 pm or later.  Call before coming (see below) if you  
want to make sure we can still use you.   Directions are available here:

If you get lost, feel free to call my cell phone, 617-905-5881; I'm   
local and can help you find your way.  Jim Housell, the head of  
Logistics, is also available at 732-740-5144; Rick Kovalcik, the head  
of Ops, is also available at 508-259-6819; however, they may be busy  
wrangling the truck.

What to expect: we'll be moving items of various shapes and sized out  
of the storage room, down a freight elevator, onto a little loading  
dock, and into the back of a truck.  The heaviest items will be  
things  like refrigerators, partitions, and bulky A/V equipment;  
however, we have a number of hand trucks and other moving gear to make  
the task easier.  Many of the smaller items are in plastic storage  
bins or crates, which stack reasonably well.

It is likely to be cold, and to get colder as the evening turns into  
night.  Please dress appropriately; this includes *GLOVES* (for hand  
protection as well as warmth) and your sturdiest pair of shoes.  You  
may also want to bring some water, we'll be feeding you later in the  
evening hopefully once the truck is loaded.

If you're not available Wednesday night, don't worry, we'll also need  
help on Thursday.   Thursday starting about noon we will need help at  
the Cambridge Hyatt Hotel to unload the truck(s).   If necessary we'll  
head back to storage for any additional items necessary.  There will  
also bulk goods run taking place on Thursday and various other tasks  
to be done.  People coming on Thursday should meet in the main  
ballroom at the Hyatt.

LOAD-OUT

We'll start loading the equipment out of the Hyatt on Sunday, January  
20.  Most load-out will happen on Monday, January 21 and will continue  
on Tuesday, January 22. Look for more info in the convention  
newsletter, stop by the volunteers lounge, or come to the ballroom on  
Monday.

In addition, we'll be loading out the Art Show on Sunday afternoon;  
the goal in this case will be to get all the art *safely* from the top  
floor to the loading dock while causing the least possible disruption  
to the operation of the Con.  Please let us know if we can call upon  
you for this task.

DURING THE CON

Even if you can't make either load-in or load-out, we can still use  
your help!  We'll be making short runs to and from storage  
periodically throughout the weekend as equipment is rotated into and  
out of use; the more we can take back before load-out, the less  
laborious load-out will be.  If you provide us with your at-con  
contact info (cell phone is probably the best bet), we'll call you  
when we're assembling one of these shorter runs, or if some ad-hoc  
task comes up.

VOLUNTEER HOURS

All hours worked from Wednesday through the start of the convention on  
Friday count double as do hours during load-out.  Please make sure to  
get Jim, Rick, or Steve to sign your form.  Everyone needs to fill one  
out.
