Dear staff,

All text for publication in the Restaurant Guide and Souvenir Book
should have been submitted by now, as per the Arisia timeline and my
last few emails to the various lists. The RG is now at the printer,
and the SB is well on its way to being submitted for printing, as
well. The only thing that can still be changed at this point is the
staff list, so if you have changes to submit to your listed
department/division (the current version of which is at http://
2008.arisia.org/staffOrgChart08) ... you should submit those staff
list changes to publications at arisia.org (and cc webmaster at arisia.org)
ASAP. Yesterday would've been better, for those of you with a time
machine.

Nearly all text for the Pocket Program should have been submitted by
now, as well. The deadline for Zambia submission was something like
Dec 15th, but we extended it to the 24th as a courtesy to those who
didn't get the memo the first time around. The only thing that can
still be slightly changed around in the PP is the programming
schedule, which should be finalized via Zambia workers by January 1st
in order to have the final draft of the PP ready for the concom proof
on January 2nd.

If you did not receive a copy of the timeline or my prior messages
about deadlines, I apologize. However, folks, the convention is
rapidly approaching. Please recognize that publication deadlines are
necessarily pre-con. If you haven't gotten something in on time,
email publications at arisia.org about it, but very little can be fixed
at this point. If you think you are an exception to this rule but
don't have an explicit statement from me to that exact effect, please
email me immediately at pubs at arisia.org to discuss. (You are
probably incorrect, but our department is also fallible, so we're
willing to entertain other possibilities.)

During the convention, as previously announced, text for publication
in the newsletter should be submitted to the Info Desk (where there
will hopefully be a specially-marked box made by yours truly) by 6 pm
the day before publication is desired. If you have additional
instructions ("please run this on Sunday instead" or whatnot), please
specify on the same piece of paper or one stapled to the text you're
submitting.

Info and text for the newsletter should also be emailed to
newsletter at arisia.org anytime between now and 6 pm the day before
publication. The earlier you submit your text, the more likely it is
to be published correctly, in the right edition, etc. Email is an
excellent invention; please use whenever possible. It saves us the
typing time, if nothing else. :)

A large part of publications has to do with layout. If you submit a
rough draft and then later discover you need to change something, so
long as you submit an update, that's fine. Please don't wait until
the last possible minute to submit something if you know it's going
to need to be done. We run out of room, at some point, probably
sooner rather than later.

I look forward to this year's convention, and hope we'll all have a
great time!

Crystal
