Arisia'24 Div Head Job Listings

Hello Arisia community!


The con chair team is hard at work on putting together Arisia 2024. We have already assembled a team of volunteers to manage many aspects of the convention. There are a few important positions that we need to fill. Events Division Head

The Events DH oversees the performances and other “big” events of the convention such as performances, dances, and the Masquerade.


What you’ll do:

  1. Contact potential event runners (we have a list of events that happen every year as well as space for you to seek out other events of interest) and book them for the convention.

  2. Communicate with individual event runners and event area heads about the needs of each event.

  3. Create the event schedule.

  4. Be a liaison between event runners, the Hotel DH, and the Tech division to make sure tech and space needs are met.

  5. Work with Registration and the event Area Heads to arrange free badges for event participants.

  6. Coordinate a team of volunteers to assist with events at con.

  7. Manage the Events budget (with the help of previous years numbers and an already made spreadsheet).


Why you want to do it:

  1. This is an opportunity to have some impact on the performances and other events that take place at Arisia 2024.

  2. You’ll be involved in a lot of what people look forward to the most every year.

  3. You can assign yourself to assist at your favorite event thereby ensuring you get to be present for it.



Guest of Honor Liaison Division Head

The GOH Liaison DH provides a single point of contact on the convention team for the Guests of Honor.


What you’ll do:

  1. Assist GOHs with travel arrangements and reimbursements.

  2. Act as a liaison between the GOHs and other divisions such as Programming, Hotel, Treasurer, and Publications.

  3. Assess GOH needs and arrange for them to be met throughout the weekend.

  4. Supervise the staff who volunteer to be each GOH’s at con assistant. (Very little if any recruitment will be needed; we already have people in those 3 roles!)

  5. Create and deliver gift bags for our GOHs on arrival.


Why you want to do it:

  1. You’ll get to work with the Guests of Honor.

  2. You get to do some shopping on Arisia’s dime.

  3. You’ll get to see a lot of the inner workings of the convention and come away with a better understanding of how this all comes together.



Hotel Division Head

The Hotel DH is the “face of Arisia” for all our dealings with the hotel. They communicate Arisia’s needs to our event liaison at the hotel and arrange for them to be met. Documentation of day by tasks by previous DH is available.


What you’ll do:

  1. Manage gathering and delivering the Banquet Event Orders (BEOs) to the hotel—this is just a fancy term for the giant list we give them of how we want rooms set up, when we want them changed over, what furniture to take out/put in.

  2. Communicate with Logistics and Tech about timing of load in, set up, and load out.

  3. Work with the Arisia Innkeeper to organize our room block—we already have an experienced Innkeeper on board!

  4. Negotiate with the hotel for small changes to our arrangements as needs develop.

  5. Answer the hotel's questions on behalf of Arisia.

  6. Manage the Hotel division budget (with help from previous years numbers and an already made spreadsheet).

  7. Work with the “Space Pilot” Area Head to arrange room space for 32+ hour volunteers.

  8. Work with the Party Czar to make sure parties have rooms in the right place.


Why you want to do it:

  1. Sounds a little silly but there is nothing that will make you feel more like an important adult than having the staff of a fancy hotel listen to you and bend over backwards for you. 

  2. You also get to learn about all the secret “inside baseball” bits of running a hotel.

  3. You’re authorized to sign off on the master bill. POWER!



Publications Division Head

The Publications DH oversees the production of Arisia’s written materials such as schedules, the souvenir book and the pocket program.

What you’ll do:

  1. Work closely with Communications DH to create and present unified Arisia messaging.

  2. Work with a graphic designer to put together physical materials and PDFs.

  3. Connect with other conventions about advertising in our program and vice versa.

  4. Have input on the design of fliers and ads.

  5. Supervise area heads in charge of the pocket program and souvenir book.

  6. Connect with vendors to arrange for printing.


Why you want to do it:

  1. Putting together a physical publication that you can then hold in your hand is very satisfying.

  2. Possibility of seeing the schedule before everyone else.

  3. If you’re the kind of person who enjoys organization and making things fit, this is your jam.



Safety Division Head

The Safety DH manages the safety team and keeps the attendees safe throughout the convention.

What you will do:

  1. Recruit for and supervise a large team of volunteers.

  2. Help with enforcement of COVID policy including tracking cases and distributing masks and tests as needed.

  3. Train volunteers to do line management and general crowd control—especially around registration and the Masquerade.

  4. Collaborate with the Incident Response Team to address crises as they occur at con.

  5. Create and manage the schedule of roving volunteer shifts—these are the volunteers who take shifts wandering the convention discreetly checking to make sure all is well.

  6. Connect con goers in need of medical attention with hotel staff who provide first aid.

  7. Manage the volunteers who check badges at Dealer’s Room, Art Show, and 18+ panels


Why you want to do it:

  1. It feels good to help people when they need assistance.

  2. You can directly impact every con-goer's experience in a positive way.
